1. About these terms
These terms govern your use of impactexplorers.com and the booking of any programme offered by Impact Explorers Ltd (“we”, “us”), including programmes operated by our brands Volunteering Solutions and Med Trips. By using our site or booking a programme, you agree to these terms.
2. Booking and payment
- A non-refundable deposit secures your place on a programme. Programme fees and deposit amounts are confirmed in your booking proposal.
- Final balance is due 60 days before programme start, or immediately if booking less than 60 days out.
- All fees are quoted in USD unless otherwise stated. Card and bank transfer accepted.
- What is included and excluded is listed in your individual programme proposal.
3. Eligibility
Most programmes require participants to be 18 years or older. Younger participants are accepted only under a faculty-led group with appropriate supervision. Medical internships require proof of enrolment in a relevant healthcare programme.
4. Insurance and health
Comprehensive travel and medical insurance is mandatory for all participants. Programme fees do not include insurance unless explicitly stated. You are responsible for ensuring your insurance covers volunteer or clinical activities, and for obtaining any required vaccinations or medications.
5. Visas and travel documents
You are responsible for ensuring you have valid passports, visas and any other required travel documents. We will provide invitation letters where the destination requires them.
6. Cancellations and refunds
- Cancellation more than 60 days before start: full refund minus the non-refundable deposit
- 30–60 days before start: 50% refund of programme fee
- Fewer than 30 days before start: no refund
- No-shows or early departures: no refund
If we cancel a programme for any reason, you will receive a full refund or be offered an alternative.
7. Code of conduct
Participants are expected to behave respectfully towards host communities, partner staff and other participants. We reserve the right to dismiss any participant whose behaviour endangers others, breaks local law, or seriously disrupts the programme. No refunds will be given in such cases.
8. Photography and media
By participating you grant us permission to use photographs and video taken during your programme in our marketing materials, unless you opt out in writing before the programme starts.
9. Limitation of liability
We arrange programmes in partnership with third-party in-country providers. While we vet our partners carefully, we are not liable for losses caused by their acts or omissions, by force majeure, or by your own actions. Our maximum liability for any claim is the total amount you paid us for the programme.
10. Governing law
These terms are governed by the laws of England & Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England & Wales.
